Administrative Assistant

Position: Administration Assistant

Part-Time | 20 hours/week

Close date: March 4th, 2024


  • Data Maintenance: Update attendance records, prepare reports on attendance and data trends.
  • Program Development: Collaborate with program managers for input and data, design and implement enhancements.
  • File Management: Organize digital and physical files systematically.
  • Email Correspondence: Manage organization’s email, respond promptly, and forward relevant emails.
  • Google Drive Management: Organize and update files on Google Drive efficiently.
  • Calendar Management: Maintain organized calendars, schedule meetings, and send reminders.
  • Document Preparation: Create and format documents, presentations, and reports.
  • Record Keeping: Maintain accurate administrative records, including time tracking and correspondence logs.
  • Office Supplies Management: Monitor inventory, order supplies, and track expenses.


  • High school diploma or equivalent; associate’s degree or higher preferred.
  • Proven experience in administrative support roles or related fields.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Gmail, Drive, Calendar).
  • Excellent organizational skills with keen attention to detail.
  • Strong communication skills, both written and verbal.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Demonstrated ability to work independently and as part of a team.
  • Familiarity with basic office equipment and procedures.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Adaptability and willingness to learn new tools and processes.
  • Previous experience in program development or data analysis is a plus.
  • Familiarity with record-keeping and document management systems preferred.


  • Rate: $20.50 per hour.
  • Hours: Not to exceed 20 hours per week, recorded and submitted bi-weekly for payment.
